Before the Nepal Police Report went fully online

Before the introduction of the new online character verification system, the Nepal Police relied on an email-based process. Applicants were required to email their application form and supporting documents to the relevant department.
Even then, many applicants still depended on relatives in Kathmandu to collect a physical copy of the Nepal Police Report and courier it overseas, adding time, cost, and uncertainty to the process.
Once the email application was received, the Nepal Police would usually respond with instructions and, if approved, issue a digital Character Verification Certificate by email. However, the system had clear limitations. Email size restrictions meant applications could fail if attachments were too large. Small mistakes — such as formatting errors or missing documents — could result in the application not being received at all, often without the applicant knowing.
This lack of confirmation created reliability issues. Applicants had no clear way to track whether their email had been delivered, opened, or processed.
By contrast, the new online police clearance system offers a more reliable and transparent process. It allows applicants to track their application and receive updates at each stage.
For visa applications to countries such as Australia, the United States, and Canada, a police or character report is mandatory. Being able to obtain this report online within around three business days is a significant improvement. Even better, the service is free — applicants are not required to pay any fee.

  4. Now is the best time to fill in the correct details asked on the five-step: Personal Information, Address, Documents, Self-Declaration, and Confirmation.
  5. Upload clear and correctly sized images and documents.
  6. When filling out the stamp for a password, consider page 3 of the passport.
  7. Mention any criminal past you may have in the self-declaration area.
  8. Double-check all the information after you have finished filling out all the fields. Click confirm once you have completed all the fields.
  9. You can view the application status as “In Progress”.
  10. Your documents will be verified at the Police headquarters, and it may take some days. You can then check the status of your application, and if everything is correct, you can see “Completed” on the application status.
  11. You can then download a police clearance certificate from the site. Then you can print it and have it physically with you.
